A Hero's Journey for Our Youngest Learners
📚 Jump to Resource Library →This portal is your map for the Spark Studio onboarding adventure. Each milestone below leads your family one step closer to the studio doors — and toward earning your Compass Badge.
Read carefully, answer the reading checks, complete the uploads, and check off each milestone as you go. Your progress is saved automatically, so you can return anytime.
Need to grab a document mid-year? The Resource Library at the bottom of this page is always here for you — handbook, calendars, waivers, posters, and more, just a tap away.
Texas Health and Human Services requires the following documents on file before your learner can begin in the studio. Upload each item directly to Procare under Documents.
What to upload to Procare
Immunization records
Required by Texas HHS before your learner's first day. Upload current shot records from your pediatrician — or an immunization exemption affidavit if applicable.
Vision screening verification
Required within 120 days of admission. A signed note from your pediatrician or eye doctor qualifies. Most well-child visits include this.
Hearing screening verification
Same requirement as vision — within 120 days of admission. Most pediatricians conduct this at well-child visits.
We've made it easy. Download our Health Verification Form and bring it to your child's next pediatrician visit. Your provider fills it out and signs it — covering vision screening, hearing screening, and well-child visit in one place. Upload the completed form to Procare along with your immunization records.

💉School immunization requirements↗ 📄Immunization exemption affidavit↗ 👁Vision screening requirements↗ 👂Hearing screening requirements↗If your family has any custody agreements, court orders, or guardianship paperwork that we should have on file, please upload them to Procare. Having these documents on hand allows us to honor your family's arrangements at drop-off, pick-up, and in any communication about your learner.
Doesn't apply to your family? No problem — just check the box below and continue your journey.
The Tuition Contract outlines payment plans, fees, and the financial agreement between your family and Sage Academy. Download, review, sign, and upload to Procare so we have a complete record on file.
Returning family? You already completed this during re-registration — you're all set. Just check the box below and continue your journey.
The Family Handbook is the foundation of life in the Spark Studio — drop-off rhythms, illness policy, tuition, emergency procedures, and the language and values that shape our days together. Download, read, sign the signature page, and upload to Procare.
1. According to the Family Handbook, what time does morning drop-off begin and what time must learners be inside the studio?
2. What is the handbook's illness policy regarding when a child may return to school after a fever?
These are our Spark family promises. Inside, you'll meet your young learner the way we already see them — a curious explorer, a capable doer, a growing human of character — and you'll find six parent promises that shape the journey we'll walk together. Read it, sign it, and upload to Procare.
A note from us: Read these promises aloud at the dinner table — even your toddler will pick up more than you think. Hang them somewhere your family sees them every day — the kitchen, the back door, the wall by the breakfast table. These aren't rules to follow; they're the language of the journey you and your young hero are stepping into together.
1. One of the six parent promises asks you to allow your child to struggle and fail. What does the document say parents should resist doing?
2. How does the document describe the way Spark sees every young learner?
Spark believes deeply in outdoor exploration, movement, and developmentally appropriate "safe challenges." This waiver explains our philosophy and how we keep your learner safe while encouraging healthy risk-taking. Read, sign, and upload to Procare.
1. The waiver describes the philosophy behind risky play. Which of the following best reflects how Sage Academy views "safe challenges"?
2. By signing the waiver, parents acknowledge that minor injuries may occur. What does the waiver ask parents to understand about this?
A great document to have on hand. If your learner ever needs medication at school, simply download this form, fill it out, and bring it with the medication in its original container. No upload required — just keep it ready.
Procare is our primary tool for studio communication, check-in, billing, and document storage. We've distilled the essentials into four short tutorials. Watch all four, then subscribe to our YouTube channel so future videos land in your feed.
Prefer it on paper? Download the Procare Quick Reference below — a printable companion that summarizes everything in the videos.
Sage Academy follows a unique rhythm with distinct summer and winter sessions. Take a few minutes to look over the full calendar — first day of school, holidays, breaks, special events, and the summer session structure.
The schedule can shift slightly. The calendar also lives in the Procare app — and if you prefer, you can sync our Google Calendar directly with your own using the button below.
1. Sage Academy's calendar is divided into distinct sessions. Which two major sessions make up the school year?
2. Where can you always find the most current version of the school calendar beyond this portal?
Growth mindset language shapes how children approach challenges — the more they see it, the more it becomes their own. Download this poster, print it, and hang it somewhere your family sees it every day. Above the breakfast table. By the back door. Wherever the day begins.
The Donut Challenge gives your family a shared language for courage and growth. Inside the donut is the Comfort Zone — easy and familiar. The donut itself is the Challenge Zone — where real learning happens. Beyond it sits the Panic Zone — overwhelming and unhelpful. Download, print, and hang it near the Growth Mindset Poster so your learner can name where they are in any moment.
Try this at home: When your learner hesitates at something new, ask gently — "Is this Comfort, Challenge, or Panic?" Naming the zone shrinks the fear and turns hard things into adventures.
Spark celebrates birthdays with a beautiful tradition — a walk around the sun, one full circle for each year of your learner's life, accompanied by photos and stories from each year. Read this guide so your family knows what to expect and how to prepare your keepsake pages.
1. During the Birthday Walk, what does each circle around the sun represent?
2. What do families prepare to bring in for the Birthday Walk tradition?

Sage Bot is our always-on AI companion — trained on the Sage Academy way of doing things. Ask it anything: studio policies, what to pack, how a tradition works, what to expect at drop-off. It's available 24/7, so the questions that surface at 9 p.m. on a Sunday don't have to wait until Monday morning.
